Furniture is a promise-by-date business. A customer does not just want a table; they want it in the room by a certain week. For Ecologic Furnitures we replaced Odoo's automatic, demand-grouped procurement with a per-order-line system that tracks exactly where every item comes from and when it will be ready.
The problem: standard procurement does not match how furniture actually moves
When a furniture retailer confirms a sale, standard Odoo pools all the demand together and tries to fulfil it automatically. That is fine for fast-moving goods. It is the wrong model for furniture, where the business needs to know, for each individual line on each individual order:
- Which warehouse the stock will come from,
- Which exact batch or lot is reserved for this customer,
- Whether the item needs assembly before it ships, and
- Whether a new purchase order has to be raised, and when it will arrive.
Without that line-level picture, delivery dates are guesswork, stock gets double-promised, and a lot needed for one order quietly ships to another.
What we built: the Sale Line Procurement
We built a purpose-made Manual Procurement module. Its heart is a simple idea: every product line on every confirmed order gets its own Procurement Tracking Sheet, called a Sale Line Procurement (SLP). Think of it as a sticky note attached to each order line that answers, at a glance, "where is this coming from and is it ready?"
A clear colour tells you where each line stands
Green, yellow, red. One look tells staff whether a line is fully covered, partly arranged, or still needs attention. No spreadsheets, no cross-checking. The readiness of every line on the order is visible on the order itself.
Stock from the right warehouse, down to the lot
Ecologic runs two physical locations, Waukegan and Tennessee, and works with third-party logistics for drop-ship routes. The module computes the genuinely available quantity at each location, excluding stock already promised elsewhere, and lets staff allocate from the right warehouse. Each allocation records the exact lot, location, and quantity, and those lot assignments carry straight through to the delivery when it is confirmed. Full traceability, order to doorstep.
Allocate against incoming purchase orders
Some items are not on the shelf yet, but they are on the way. Staff can allocate an inbound purchase order line directly to an order line before the goods are received. When the PO is confirmed, the lot details flow through automatically. That means a delivery date can be promised against real incoming supply, not a hopeful guess.
Assembly planning built in
Furniture often needs work before it ships. Each line can be set to Assemble & Deliver, Deliver Components (which automatically creates component tracking sheets from the bill of materials), or No Assembly. The plan for every item is explicit, so the workshop and the delivery team are never out of step.
Guided replenishment and delivery
When a line needs buying, a replenishment wizard raises the purchase order without leaving the procurement sheet. When it is time to ship, a guided delivery-confirmation wizard walks staff through it, carrying the reserved lots onto the actual stock moves. Every shipment stays fully traceable.
The result
- Reliable delivery dates. Because every line is sourced explicitly, the promised date reflects real stock and real incoming supply.
- No double-promised stock. Available quantities exclude what is already reserved, so a lot cannot be sold twice.
- End-to-end traceability. The exact lot reserved at order time is the exact lot that ships.
- One source of truth per line. Sourcing, assembly, and readiness all live on the order, visible to everyone.
